As we expand our program portfolio and strategic engagements, we seek a competent and highly organized professional to support our executive leadership and administrative operations.
ROLE PURPOSE
The Administrative and Personal Assistant will provide comprehensive administrative, secretarial, and executive support to the organization’s leadership while ensuring efficient coordination of office operations. The role requires exceptional organizational capability, discretion, excellent communication skills, and the ability to manage multiple priorities in a fast-paced working environment.
KEY DUTIES AND RESPONSIBILITIES
- Executive Support
- Provide high-level administrative and personal support to the Executive Director.
- Manage executive schedules, appointments, meetings, and travel arrangements.
- Handle confidential documents and correspondence with discretion and professionalism.
- Prepare briefing materials, reports, presentations, and meeting packs as required.
- Office and Administrative Management
- Coordinate daily office operations and administrative processes.
- Maintain proper filing systems (electronic and physical) and ensure data accuracy and confidentiality.
- Support procurement, inventory control, and vendor management.
- Monitor office supplies and ensure effective administrative logistics.
- Communication and Documentation
- Draft, proofread, and manage official letters, memos, emails, and other communications.
- Record, transcribe, and circulate meeting minutes and follow-up on action points.
- Serve as liaison between the organization and external partners, visitors, and stakeholders in a professional manner.
- Program and Logistics Support
- Assist with organizing meetings, workshops, events, and other institutional activities.
- Coordinate travel logistics, bookings, and event arrangements.
- Support program teams with administrative tasks when required.
- Other Responsibilities
- Ensure compliance with organizational policies and standards.
- Perform any other duties assigned to support effective leadership and organizational efficiency.
QUALIFICATIONS, EXPERIENCE & REQUIREMENTS
Education
- A minimum of a Diploma or Bachelor’s degree in Administration, Management, Social Sciences, Business Studies, or a related field.
Experience
- Minimum of 2–4 years relevant experience in an administrative or executive assistant role.
- Prior experience working in a nonprofit, corporate, or development sector environment is an advantage.

REMUNERATION
Compensation will be commensurate with experience and in line with organizational salary structure.
